"You can save me money on my printers... really?"
Take a look at the stats.
Just click the red button below. -
- The Gartner Group estimates that corporations spend between 1% to 3% of their annual revenue on printing
- The average office employee spends $3,400 a year in document output*
- The cost of printing continues to increase 11% per year due to higher page volumes and increased use of color devices
- * Source: All Associates Group 2002 EDAM
-
- 40% of all IT / help desk calls are printer/copier related**
- The average office has 1 printing device for every 4 employees when the optimum ratio is 1 to 10**
- ** Source: The Gartner Group "Rightsizing Output Fleets: The Hidden Goldmine," March 2001
-
Only 10% of document costs are attributed to the direct cost of equipment, supplies, service and paper - the remaining cost is attributed to IT support, facility, user interaction and other expenses!***

The facts show printing is costing you thousands of dollars a year.
The matter is worse when you consider that you may not even know for certain how much nor why it is costing you so much? -
Most of the organizations we work with share at least one of these traits in regards to printing:
- No visibility into the printer network, leaving little to no control over the devices. You simply do not know how many, how much, or how often your employees are printing.
- Budgets cuts have left many organizations with the "wrong" people purchasing supplies causing no accountability, an inability to properly budget, and no cost control.
- IT resources are being stretched so thin with printer related issues that they cannot concentrate on mission-critical projects.
-
- Now you can see that it is quite likely printing is costing you a lot of money.
- You also realize that the costs associated with printing will continue to rise year over year
- Add to it that you probably have additional internal issues to get a handle on these rising costs.
- So what is the solution?
-
MPS is an all-inclusive outsourced service that will provide you visibility into your printer network, get control of your output costs, and ultimately implement a cost reduction strategy.
So, what you should expect from a Managed Print Services Program? -
- Ongoing 24x7 monitoring—Provides full visibility into your output device network.
- Optimize existing printer fleet—You will not not be asked to purchase additional hardware or any other out-of-pocket expense.
- Allow IT to focus on IT Projects—" are mechanical hardware, not digital technology. Your IT personnel should be focused on driving sales for you.
-
- Never Run out of Printer Ink again—Expect just-in-time supplies for your printers. At $1200/gallon printer ink is the most expensive liquid on the planet. Having too much on hand costs you money, running out costs you productivity
- No purchasing required—Allow your purchasing team to concentrate on producing more savings for your company.
- One invoice per month—Save time and expenses by simplifying the billing process. By contrast, at many companies, 4 people can be involved in the paying of a single invoice.
-
- Budgeted Line Item—No more guessing on "office expenses". You should have an exact total on what to budget.
- Drives down Total Cost of Ownership—Preventative maintenance should be a part of the program, allowing devices function longer.
- Every MPS program should install Data Collection Software on your network. Why, you ask? Click "Next" to read about the "brains" behind the MPS operation.
-
The Data Collection Agent enables you to intuitively understand what is happening with your business printing. It offers broad overviews and detailed close-ups so you can effectively address inefficiencies and know where you are already efficient.
Read on to learn how the Data Collection Agent is installed and how it works to save you money. -
- The Data Collection Agent is typically installed on a networked PC running Windows 2000/XP or higher, or directly onto a Windows 2003 server.
- This software application runs in the background, collecting and transmitting critical imaging metrics to the ProSource secure web server.
- Your printer information will be available 24 hours a day, 7 days a week via the secure website.
- Important: To ensure security of your information, your MPS program's software should be hosted on a secure server.
-
- Your MPS program should not have an impact on compliance with the Health Insurance Portability & Accountability Act (HIPAA) for covered entities, because the applications do not collect, house, or transmit any information regarding the content of print jobs.
- MPS software applications will not affect Sarbanes-Oxley compliance either. MPS software is not designed as an IT control system and will not interfere or put at risk other systems that are intended for that purpose (as outlined in section 404: Management Assessment of Internal Controls) and will not interfere with these controls.
-
- The Data Collection Agent your provider installs should be able to maximize uptime and minimize costs by having acces to these data at any moment:
- Current status
- Supplies levels
- Page counts
- Model descriptions
- Serial and asset numbers
- Printer locations
- Cost-per-Page tracking
- Automated service alerts
- Utilization
- Historical trending reports
- Power consumption
-
- Software is only as good as the person analyzing the data for you.
- Your MPS provider should commit to you that he will provide you with at MINIMUM quarterly reports and an in-depth analysis so you can continue to reduce cost, optimize your devices, and stick to an ongoing print strategy.
- Read on to learn more about how to select the right team to administer your MPS solution.
-
- MPS is the "hot" service for Dealers selling copiers, printers and supplies.
- It takes a minimum of 15 dedicated personnel to properly manage your account and actually realize savings.
- Ensure your supplier has made that commitment before you make a commitment to them.
- MPS can maximize short-term cost savings, while adding value that will prime your business for a long term cost reduction strategy.
- Important rule of thumb when dealing with an MPS vendor, "If it sounds too good, it probably is."
-
MPS by ProSource can provide you all with the benefits detailed in this presentation.
Our program is being utilized by corporations, school systems, and non-profit organizations throughout the Tri-State region.
